{"id":1140,"date":"2026-09-01T22:29:55","date_gmt":"2026-09-01T22:29:55","guid":{"rendered":"https:\/\/ncapp.org\/new\/?p=1140"},"modified":"2026-09-01T22:30:02","modified_gmt":"2026-09-01T22:30:02","slug":"action-needed-update-your-license-renewal-in-nctracks-via-a-manage-change-request-medicaid-providers","status":"publish","type":"post","link":"https:\/\/ncapp.org\/new\/uncategorized\/action-needed-update-your-license-renewal-in-nctracks-via-a-manage-change-request-medicaid-providers\/","title":{"rendered":"Action Needed \u2014 Update Your License Renewal in NCTracks via a Manage Change Request (Medicaid providers)"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">As the October 1 psychology license renewal deadline approaches, NCAPP wants to remind all NC-licensed psychologists and Licensed Psychological Associates (LPAs) enrolled with NC Medicaid of an important \u2014 and easy to overlook \u2014 second step in the renewal process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Renewing with the Board is NOT the same as updating NCTracks.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Your license renewal with the NC Psychology Board does not automatically update your provider enrollment record in NCTracks, NC Medicaid's provider data and claims system. To keep your Medicaid enrollment in good standing, you must separately submit a <strong>Manage Change Request (MCR)<\/strong> in NCTracks with your renewed license number and new expiration date.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If this update isn't made, NCTracks will show your license as expired once the old expiration date passes \u2014 which can result in your provider record being <strong>suspended or terminated<\/strong>, interrupting your ability to bill Medicaid, even though your license itself is current with the Board.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Build in extra time for processing.<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">NCTracks' published estimate for MCR processing is approximately <strong>10 business days<\/strong>. However, we've heard from several members that current processing times are running longer \u2014 potentially several weeks. Given that uncertainty, NCAPP recommends submitting your MCR <strong>as soon as your renewed license is issued<\/strong>, rather than waiting until close to the October 1 deadline. NCTracks also posts a reminder to your Message Center inbox on the secure provider portal 60 days before your license expires \u2014 don't rely on this alone as your only check.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>How to submit an MCR:<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Log in to the secure NCTracks provider portal.<\/li>\n\n\n\n<li>Locate the Manage Change Request option for updating licensing\/credentialing information.<\/li>\n\n\n\n<li>Enter your renewed license number and new expiration date (the effective date must not predate your enrollment date or the date the credential was issued).<\/li>\n\n\n\n<li>Submit and monitor your Message Center inbox for confirmation or requests for additional information.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">If you already have another MCR pending that does not include your renewed license information, you may need to withdraw and resubmit it with the updated details so the renewal doesn't get delayed behind an older request.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Questions?<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Contact the NCTracks Call Center at <strong>1-800-688-6696<\/strong>, or review the Manage Change Request FAQs and License and Accreditation FAQs at nctracks.nc.gov. NCAPP will continue to monitor this issue and share updates as we learn more.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><em>\u2014 NCAPP<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Note: <strong>NCTracks and CAQH are two separate, non-syncing systems<\/strong>, and updating one does not update the other:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>NCTracks<\/strong> is NC Medicaid's own provider enrollment record. Submitting an MCR there updates the psychologist's license\/expiration date for their base NC Medicaid enrollment (and re-credentialing every 5 years).<\/li>\n\n\n\n<li><strong>CAQH ProView<\/strong> is the credentialing data hub that NC Medicaid's managed care plans (the PHPs \u2014 AmeriHealth Caritas, Healthy Blue\/BCBS, Carolina Complete Health, UnitedHealthcare, WellCare) and virtually all commercial payers pull from for their own credentialing and re-credentialing. CAQH's own guidance (and payer-facing pages like Ambetter's) is explicit that providers must upload the new license and update the expiration date in CAQH \"every time\" they get a new one, and separately re-attest the whole profile roughly every 120\u2013180 days regardless of whether anything changed.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">So if a psychologist is only enrolled in NC Medicaid Direct (fee-for-service, not going through a PHP) and has no CAQH-dependent payer relationships, NCTracks alone may be sufficient. But most practicing psychologists taking NC Medicaid today are credentialed with at least one PHP under Medicaid Managed Care, plus commercial insurers \u2014 and for all of those, yes, the renewed license (document + new expiration date) needs to be uploaded and the profile re-attested in CAQH too, independently of the NCTracks MCR.
